QuickBooks® Desktop Installation Guide

Chapter 8 in your Payroll Accounting course consists of comprehensive payroll projects that use QuickBooks Desktop Pro 2021. In past years, Intuit provided students access to the QuickBooks software and they have discontinued this practice as of July 31, 2022. So that you can complete Chapter 8, follow the instructions in this guide to download a free, 30-day trial of the software.

NOTE! The trial software you will download is for use on a Windows PC. It cannot be installed on Macs or mobile devices using iOS or the Android operating system. For more info, go here.
  1. Click this link to download the free, 30-day trial: QuickBooks Desktop Pro 2021
  2. The software will download. How it displays and is accessed depends on your web browser. These steps assume use of Google Chrome.

    Remember, you are downloading a free, 30-day trial of this software for use on a Windows PC.

  3. Click the .exe file to begin the process, clicking Yes to allow QuickBooks to make changes to your computer.
  4. Can't find the .exe file? Check your Downloads folder. The location of downloaded files depends on your system settings.

  5. Click Next in the wizard screen.
  6. After a moment, the Intuit Desktop Installer window displays.

  7. Click Accept & Continue.
  8. The process can change at any time and names or features indicated here may be different on the screen you see now. Follow the prompts.

  9. Enter the license and product numbers when prompted then click Next.
  10. License Number: 0421-9621-3866-298

    Product Number: 989-375

  11. Ensure the Express (recommended) option is selected and click Next.
  12. Click Install.
  13. When the installation is complete, click Open QuickBooks.
  14. If necessary, click OK in the "How QuickBooks Desktop uses your Internet connection" or other window.
  15. The QuickBooks Home Page is displayed.

    A window prompting you to activate QuickBooks may appear. As this is a free, 30-day trial of the software, you will not activate. There is no activation number. You can click Remind Me Later to dismiss the window. You may have to do this more than once.

Common Questions

Why do I have to download and install the software, isn't it the same thing? Downloading pulls a package from the Internet and places it on your computer. Installing essentially opens that package and sets up the software for use.

What if I am taking a QuickBooks course and a Payroll course at the same time? You only need one installation of the software for both courses.

How do I use the QuickBooks trial software with my Payroll Accounting textbook? Refer to your "Payroll Accounting" resource center or eLab course for guidance.

What if I’m using a Mac? The Payroll Accounting Chapter 8 projects assume use of and the supporting files were made using the PC version of QuickBooks Desktop. The 30-day trial downloaded is for the PC version of the software. It cannot not be installed on Mac computers or mobile devices using iOS or the Android operating system.

QuickBooks is prompting me to activate my trial. How do I do that? The 30-day trial does not get activated. If you are prompted to do so, click Remind Me Later or dismiss the box. When the 30 days have elapsed, you will no longer be able to use the trial.
